When it comes to sales outreach, there is no one magical way to do things. What works for one industry, or offering may not work for another. This is true for the SaaS industry as well.
At LeadJoint, we have worked with hundreds of clients from across different countries and industries to help them generate qualified leads for their businesses through email outreach.
Since you are here to check out SaaS sales email templates, let me tell you this from experience – there is no perfect template that will work for all prospects. Their industry, designation, culture, English proficiency, and tech-savviness all play a part in deciding the best sales email template.
When we do sales outreach at scale for our clients, we start off with dozens of different sales email templates, and then slowly narrow it down to one or two based on what gets us the best results.
In this blog post, we will go through several different formats of emails that you could experiment with while seeking leads for your SaaS business.

SaaS Sales Email Follow-Up Templates
Typically, we send between 4-7 follow up emails for each recipient. While I can’t say with certainty how many follow-ups are ideal in the case of SaaS sales emails, the number of follow-ups generally increases where recipients are ‘out in the field’ or not tech-savvy since in these cases, there is a high chance that they missed out our initial outreaches.
In my experience, such prospects also tend to be more forgiving on persistent follow-ups, and the chances of being marked as spam are lower. So, you can crank up the number of follow ups.
In each of the follow-up email, it is important to reiterate two things:
- What you offer (B2B lead generation in your case)
- Call-to-action (booking a meeting, for instance)
Here is one variant of the follow up email that you can use. Please note that it is recommended that you experiment with different variants of follow ups in order to find what works best.
Subject: Just Checking In – Let’s Set Up a Quick Demo
Hi [Recipient Name],
I wanted to follow up and see if you had a chance to review my previous email. Our SaaS platform is designed to streamline B2B lead generation and drive more qualified leads to your business. Could we set up a quick demo to show you how it works?
I’m happy to adjust to your schedule. Looking forward to hearing from you.
Best regards,
Anand Srinivasan
I personally like to receive short emails. So, we also try to experiment with short follow-up emails that are under 150 words. Something like this:
Subject: Following Up – Let’s Schedule a Demo
Hi [Recipient Name],
I’m following up on my previous message about our SaaS lead generation platform. We’ve helped B2B companies boost their lead quality and save time through automation. I’d love to show you how we can do the same for your business.
Let me know when you’re available for a quick demo.
Best,
Anand Srinivasan
SaaS Break-up Email
The last email in the follow-up series is called the breakup email where you explicitly tell them that you won’t be reaching them any further. It is important that you mention this since a lot of prospects are busy or not desperate. So, they don’t bother replying till you tell them that they won’t be hearing from you again.
Here is one variant of the breakup email that we use for our SaaS product.
Subject: Last Chance to Connect – Meeting Request
Hi [Recipient Name],
I’ve reached out a few times to share how our lead generation software can benefit your business. Since I haven’t heard back, I’ll assume the timing may not be right. If you’re still interested in learning more, I’d love to set up a demo.
If not, no worries! I appreciate you letting me know either way.
Best regards,
Anand Srinivasan
And here is an obligatory shorter version of the same breakup email:
Subject: Final Follow-up – Are You Interested?
Hi [Recipient Name],
This will be my last attempt to reach you regarding our lead generation platform. I’d still love to set up a quick demo if you’re interested. If not, I completely understand and would appreciate a quick reply so I know how to proceed.
Thanks for your time!
Best,
Anand Srinivasan
How to maximize SaaS lead generation
Email content is just one part of the puzzle. There are a lot of other things that you need to get right in order to get the highest quality leads. This includes ensuring high email deliverability, reaching the right decision-maker, and reaching them at the right time and day.
The best way to ensure you get the highest quality leads consistently is to find the right tools.
LeadJoint is a visitor identification system that analyzes your website traffic to see who’s visiting your website, what organization they belong to, and also the email address of the decision makers. This is a brilliant way to know who’s shopping for a product you offer and reach out to them at the right time.
